Business email costs: separate mailboxes, domains and optional extras
Count the mailboxes you need, separate domain renewal from email charges, and compare annual costs without paying twice for included services.

Business email has several possible bills: the domain, the mailboxes people use, and any separate service for newsletters or website notifications. Start by counting the mailboxes you need and checking what you already pay for. Three addresses do not necessarily require three paid accounts.
This guide is for a small project owner with a domain, or a domain picked out, who wants a usable cost estimate before choosing a plan. You will finish with a first-year total and a renewal total, with optional services shown separately.
Count people and inboxes before addresses
A mailbox stores messages and gives someone access to read and reply. An alias is another address attached to an existing account; it does not create an independent inbox.
For example, one person handling alex@studio.example, hello@studio.example and billing@studio.example may need one mailbox and two aliases. Two colleagues who each need private access and separate message histories usually need two user mailboxes. An address handled by a team needs a separate check for shared or delegated access and its licensing.
Look in your current email or hosting plan for included mailboxes, aliases, storage and sending limits. If those cover your needs, the additional mailbox cost may be zero. Domain ownership alone does not establish that email hosting is included.
Keep your domain registration too, if you already own the name. You can choose an email provider separately; an email plan is not a reason to buy the same domain again.
Put each cost on its own line

Ordinary business correspondence, newsletters and password-reset messages are different workloads. A newsletter bill may depend on subscribers and sends rather than employee mailboxes. Do not automatically attach that subscription to a project that only needs a person to read and answer email.

Read the billing unit, then annualize it
The examples below use official pages checked on September 25, 2026. They illustrate two different billing models, not equivalent feature bundles or a ranking of providers. Domain charges, applicable taxes, migration and optional extras are outside these amounts.

Google’s billing comparison separates the commitment from the payment schedule. On its annual plan, removing a user does not remove the committed license charge before renewal. On Flexible, the number of user accounts can change during the term.
Namecheap’s Private Email page separates included mailboxes from extra ones. It also distinguishes introductory offers from regular renewal. Recheck the price for your selected plan and currency; a temporary discount should not become your long-term budget.
Zoho Mail’s plan table is another useful comparison when you need mail-focused options. Mail Lite is quoted per user per month but billed annually, with no monthly plan listed. Use the price shown for your region and selected storage tier; do not assume a displayed monthly equivalent means you can cancel after one month.
Work through your own total
For a per-user plan, calculate users × monthly rate × 12. For a mailbox pack, use annual pack price + annual charges for the extra mailboxes. These are alternative calculations: do not multiply a pack price by every included mailbox.
As a small calculation example, two users on Google Workspace Business Starter at the standard annual rate are 2 × USD 7 × 12 = USD 168 for a full year. At the cited Namecheap Launch renewal rates, the plan plus one extra mailbox is USD 14.88 + USD 8.88 = USD 23.76 per year. These totals price email configurations with different accompanying features; they do not establish that either fits your work.
Then add the actual domain renewal and required extras to the appropriate subtotal. If the domain is already paid for during the period, show it as an existing cost and put zero in the “new payment now” column. Keep its next renewal in the future budget.
Prepare two totals: first year, using any applicable introductory terms and one-time moving costs; and renewal year, using regular rates. For monthly service, the annual figure is a comparison assuming 12 months of use, not necessarily an upfront bill.
Check the estimate before choosing
Your estimate is ready when every required person has access, every role address has an owner, the storage and sending limits fit, and both totals use the same currency and period. Leave an unknown tax or migration charge marked unknown rather than silently treating it as zero.
If an existing plan meets those checks, keep it. If something is missing, compare the cost of adding that capability with the cost and effort of moving. Buy the missing capability only after the numbers and plan conditions are clear.
